Position Overview: Private Events Coordinator
We are looking for a highly organized, detail-oriented, and enthusiastic Private Events Coordinator to support our Private Events Director and contribute to the success of our private event operations. This role requires exceptional communication skills, a love for hospitality, and the ability to manage multiple priorities with professionalism and warmth.
Key Responsibilities
Client Communication
- Serve as a key point of contact for clients during the planning process, up to the final detail appointment (managed by the Private Events Director)
- Coordinate, schedule, and lead group tasting appointments
- Send and manage invoices, process deposits, and maintain accurate payment schedules with timely reminders to the client
- Cross-check client payments with the Reserve CRM system
- Assist with client drop-off meetings in the days leading up to events
- Send post-event “Thank You” emails
Event Day Responsibilities
- Maintain clean and well-stocked suites throughout weekend during events
- Finalize and update event details and Banquet Event Orders (BEOs)
- Greet wedding party upon arrival and assist them to their designated suites; introduce them to their wedding concierge and/or the Food and Beverage Team
- Assist in event décor set-up throughout the clubhouse/ceremony areas
- Greet vendors upon arrival, describe their access point or set up area
- Capture and post event photos to GroupMe and share with Marketing Team
Lead Management & Online Presence
- Enter leads from platforms like The Knot and WeddingWire into Reserve daily
- Keep event pages up to date with current photos and videos
- Maintain strong online presence to attract and engage new clients
BEO Management
- Continuously update BEOs throughout the planning process
- Prepare and distribute the current batch of BEOs during meetings
- Organize and update shared BEO board daily
- Share updated BEOs with relevant staff daily (process to be defined)
Event Inquiries & Sales Support
- Take event inquiries and gather all relevant information
- Check availability and send menus when the Private Events Director is unavailable
- Provide venue tours and confidently represent the Private Events Director as needed
- Create basic proposals using the Reserve CRM system
Special Projects & Marketing Support
- Update menus in Canva and Reserve
- Help drive social media coverage of events and stay informed on trends
- Request professional photos/videos from photographers/videographers to keep content current
- Conduct competitive venue analysis
- Plan and coordinate Wedding Open Houses in collaboration with the Private Events Director and Marketing team
- Support additional projects as needed
Club Events Support
- Manage reservations for house events such as Easter and Mother’s Day
- Serve as on-site host during those events
