Staff Accountant
Position Type: Full-time, in office
We are seeking a highly motivated and detail-oriented Staff Accountant to join our finance team. As a key member of the accounting department, the Staff Accountant will be responsible for maintaining accurate financial records, supporting month-end and year-end closing processes, and ensuring compliance with accounting principles and company policies. The ideal candidate will have a strong understanding of accounting processes, excellent analytical skills, and a commitment to accuracy and integrity.
Key Responsibilities
Account Reconciliation:
- Perform daily and monthly reconciliations to ensure all transactions are accounted for: Bank, Credit Cards, Vendor statements, AR aging, and others as assigned.
- Investigate and resolve discrepancies promptly.
Accounts Payable and Receivable:
- Process invoices daily from vendors.
- Match POs to invoices and reconcile for entry.
- Manual entry of invoices without a PO.
- Work with receiving and purchasing departments as needed for discrepancy variances.
- Work with vendors as needed.
- Prepare payments including checks, ACH transfers, and credit cards weekly.
- Maintain accurate vendor records including payment types and W-9s.
- Record cash receipts to customer accounts.
- Assist with invoicing and collections.
- Maintain accurate customer contacts to ensure invoices, W-9s, and tax exemption forms are delivered on time.
Audits and Compliance:
- Conduct internal audits on point-of-sale transactions.
- Ohio BWC True-Up audit.
Taxes:
- Calculate and file Sales/Use Tax return.
- Calculate and file Quarterly CAT Tax.
- Prepare 1099’s at year-end.
Collaboration:
- Identify areas for process improvement, propose solutions, and collaborate to implement them.
- Must work well with others in a team environment, interacting with the Receiving Department, Customer Service, Sales Team, vendors, and customers.
- Maintain a clean and organized work area, ensuring documentation is properly filed and retained.
- Accounting projects as assigned.
- Provide backup to other administrative positions when necessary.
Skills and Competencies:
- Analytical mindset with attention to detail and problem-solving skills.
- Time management skills – consistency and proactiveness are essential for the position.
- Thorough knowledge of general accounting and controls, ability to review financial reports for discrepancies.
- Detail-oriented, deadline-driven, organized individual able to handle multiple tasks while working independently or as part of a team across multiple departments.
- A proactive and independent work ethic, a passion for continuous learning and process improvement, taking ownership of assigned tasks.
- Advanced skills in Excel and Microsoft Office.
- Experience using QuickBooks.
- Must be flexible and willing to take on new roles and responsibilities.
- Highly motivated and dedicated to contributing to the growth and success of the company, along with their career.
- Ability to communicate clearly and concisely, both orally and in writing with internal and external counterparts.
- Knowledge of administrative and clerical procedures.

- Willing to work beyond normal scheduled work hours as necessary.
Qualifications:
- Bachelor’s degree in finance, accounting, or a related field preferred.
- High school diploma or GED required.
- 2 years of experience as a staff accountant or a similar finance role preferred.
- General understanding of accounting process and financial principles.
- Proficient in accounting software (e.g., QuickBooks, SAP, Oracle).
- Advanced skills in Excel.
