Minimum Requirements:

• Minimum three (3) years experience in small office environment
• High School Diploma
• Some college course work preferred
• Excellent communication skills, both written and verbal
• Proficient in Windows XP and Microsoft Office software applications such as:  Word, Excel, PowerPoint and Outlook
• Proficient with peripherals, copier, fax, telephone and calculator
• Minimum typing skill of 20+ wpm and Data Entry of 4000+ cph
• Must pass Typing, Data Entry, Telephone Message Taking, and Customer Service skill testing
• Proficient with peripherals, copier, fax, telephone and calculator
• Ability to provide simple math calculations
• Must have ability to courteously present information to people in one-on-one and group situations
• Ability to work independently and take responsibility of making independent decisions when necessary

Tasks/Responsibilities:

• Graciously welcome members and guests upon entering the Membership Office and assist with request and/or questions
• Assists in answering, managing and directing incoming calls
• Learn members' names and learn to recognize members and guests
• Responsible for following established confidentiality polices at all time
• Perform all aspects of opening and closing procedures for Membership Office
• Perform all aspects of micros system
• Maintain a general knowledge of all facilities and services
• Learn responsibilities of Club Membership Coordinator and Guest Membership Coordinator and assist and back up as needed
• Keep Membership Office neat, organization and comfortable for members and guests at all time
• Assist in maintaining adequate office supplies for department
• Assist with sorting and filing member and guest documents
• Assist with keeping membership files up-to-date
• Assist with research and confirmation of prospective guests
• Assist with performing duties related to processing/providing guest membership cards, including providing prompt and accurate information to members and guests
• Assist with performing all duties related to processing/providing Sea Island Club memberships and membership cards including providing prompt and accurate information to members
• Assist as needed with Ocean Forest Golf Club membership issues
• Learn new processes and systems as they relate to all memberships
• Work with all hotel departments to maintain maximum rapport and open communication channels to anticipate and satisfy members and guests needs and demands
• Act to solve members and guests problems, coordinating necessary efforts through the appropriate departments and to consistently follow-up with guests to ensure proper actions and responses have been received
• Maintain a thorough knowledge of current guest services, activities, dining options, shops, local attractions, and historical information regarding Sea Island and the surrounding area to answer any questions guests may have to the best of one’s ability
• If applicable, complete a Guest Problem Resolutions (GPR) form on any issues (solved or unsolved issues) and follow-up on issues as needed (if computer access is not available give information to admin support)
• Maintains cleanliness and organization in all work areas
• Uphold appropriate departmental standards of quality/timing
• Uphold and ensure compliance with all company and departmental policies and procedures
• Report all equipment problems and maintenance issues, known safety hazards, or unsafe practices and procedures to supervisor immediately
• Attends all scheduled employee meetings and brings suggestions for improvement
• Willing and timely execution of other duties as delegated by leadership
 
Physical Requirements:

• Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull and walk for prolonged periods
• Ability to lift, carry, pull and push up to 25 lbs intermittently throughout a shift
• Ability to read, write and communicate effectively in English, both written and verbal
• May be exposed to mechanical, electrical, chemical and fume hazards
