Job Summary:

The Concierge & Event Coordinator plays a pivotal role in delivering exceptional service and seamless event execution. By merging the personalized service of a concierge with the organizational expertise of an event coordinator, this position ensures remarkable experiences for all members and guests before, during, and after their visit. Key priorities include creating Warm Welcomes, Magic Moments, and Fond Farewells while supporting club initiatives and ensuring flawless event delivery.

Day to Day:

Concierge Responsibilities:
 Guest Engagement: Provide personalized service by greeting tenants and guests, offering directions, and assisting with inquiries regarding club services, events, and amenities.
 Information Hub: Proactively inform tenants about upcoming events, room locations, and club features both in person and over the phone.
 Personalized Assistance: Arrange transportation, schedule appointments, make reservations, and accommodate special requests to enhance the guest experience.
 Administrative Tasks: Maintain cleanliness and organization of the lobby, front entrance, and workstation. Ensure supplies (e.g., pens, notepads) are fully stocked and accessible.
 Member Experience & Amenities Team Support: Assist with marketing initiatives, including internal communications between Invited/Tenant/ARE/Partners, event announcements, and outbound tenant communications.
 

Event Coordination Responsibilities:
 Planning & Collaboration: Work with the event planning team during weekly BEO (Banquet Event Order) meetings to understand event logistics, guest needs, and schedules.
 Day-of Execution: Serve as the primary on-site contact for attendees, ensuring seamless execution of event elements in conjunction with the Event Manager, such as catering, audiovisual setup, décor, security oversight and communications and parking.
 Communication: Provide clear updates to attendees, vendors, and staff regarding event details or schedule changes.
 Crisis Management: Address unforeseen challenges or emergencies with professionalism and poise, ensuring guest safety and satisfaction.
 Feedback Collection: Contribute to internal feedback forms to inform post-event evaluations and improve future experiences.
Additional Responsibilities:
 Guest Services: Assist with seating arrangements, resolve attendee issues, and handle special requests from Tier 1 tenants or VIP guests.
 Record Maintenance: Maintain detailed records of event details, guest inquiries, and resolutions to support continuous improvement efforts.

About You:

We’re looking for a dynamic, service-oriented professional who thrives in a fast-paced environment and is passionate about hospitality and event coordination.
 

Required Skills and Qualifications:
 At least 1 year of experience in hospitality, event coordination, or a similar role.
 Strong communication skills (verbal, written, phone, text, and social media).
 Exceptional organizational skills and attention to detail.
 Competence in using Microsoft Office Suite and other systems.
 Positive attitude, teamwork mindset, and ability to multitask effectively.
 Proven ability to deliver high-quality guest experiences with warmth and professionalism.
 High school diploma or equivalent; additional education or certifications in hospitality/event
management are a plus.
